Three Layers of Automation

What your practice stops doing by hand

Recall, after-hours coverage, and the small operational things that happen between every appointment.

Recall Pipeline

Every overdue patient flows through stages automatically. No spreadsheets, no manual flagging, no patients lost between visits.

  • Auto-detection of overdue patients
  • Stage-based pipeline view of the whole queue
  • Sequence runs on its own across SMS and email

AI After-Hours Booking

An AI assistant picks up calls and messages when the office is closed. It books appointments, takes information, and hands off to your team in the morning.

  • Voice and chat AI for after-hours coverage
  • Books straight to your calendar
  • Full transcript saved to the patient record

Workflow Triggers

Patient checks out, books online, signs a treatment plan, or no-shows? Cajoon fires the right follow-up at the right time, without anyone remembering to.

  • Trigger-action rules for every patient event
  • Multi-step sequences across SMS, email, and tasks
  • Editable, pausable, customizable per scenario
Recall Pipeline

The whole queue, on one screen.

Cajoon turns recall into a visible pipeline. Every overdue patient lands in Due Soon, moves to Sequenced when their re-engagement starts, jumps to Engaged when they respond, and lands in Booked when they're back on the schedule. You can see exactly where the work is at any moment.

AI After-Hours Booking

The office stays open when you can't.

Cajoon's AI assistant picks up calls and chat messages when your front desk isn't there. It greets the patient in your practice's voice, qualifies them as new or existing, checks your real calendar, and books them in. By morning, the appointment is on your schedule and the transcript is saved to the patient's record.

In Practice

A day on autopilot

What happens in your practice without anyone lifting a finger.

1

The overnight booking

Patient calls at 10:42 PM. AI assistant picks up, qualifies them, offers Tuesday at 9am. By the time the front desk arrives, the appointment is already on the calendar.

2

The 6-month flag

Cajoon detects 47 patients passed the 6-month mark this week. They auto-enter the recall pipeline. Sequenced messages start. The front desk only handles the patients who reply.

The post-visit lift

Patient checks out at 3pm. 24 hours later, a review request goes out. 72 hours later, a recall reminder is scheduled for 6 months out. None of it touched by staff.

FAQs

Questions about Automation

Will the AI actually sound like my practice?

Yes. The voice and chat assistant uses configurable scripts that match your practice's tone, your appointment types, and your booking rules. We tune it during onboarding using real call examples from your front desk if you have them. Patients hear a warm, professional voice that introduces itself as your practice's assistant.

What happens when the AI can't handle a request?

It hands off gracefully. The AI is configured to detect anything outside its scope (emergencies, complex insurance questions, clinical concerns) and either route to your on-call line, leave a detailed message for the morning team, or schedule a callback. The full transcript is always saved.

Does this replace my front desk?

No. Cajoon is a force multiplier, not a replacement. The front desk still owns the patient relationship, handles complex situations, and runs the practice. Automation just absorbs the repetitive, after-hours, and behind-the-scenes work so the team can focus on patients who are actually in the office.

Can I pause or edit any automation?

Every automation is editable, pausable, and scoped per scenario. If a patient is in active treatment and you don't want automated messages going to them, pause their automation. If you want to tweak a sequence, edit the template. Nothing runs without your say-so.

Does the recall pipeline connect to my practice management software?

Yes. Cajoon pulls patient visit history and overdue status from your PMS (Dentrix, Eaglesoft, Open Dental, Curve, and others) to know who belongs in which stage. We confirm the integration during onboarding.

How long does it take to get the playbooks running?

The pre-built playbooks activate in one click. You'll be running the basics (new patient welcome, six-month recall, no-show recovery, review requests) in your first week. The AI after-hours assistant takes a bit longer to tune properly, usually 1 to 2 weeks of refinement based on call patterns at your practice.
